Onsite Registration & Check-In

Registration will be located on the Second Floor in the Constellation Ballroom Foyer at the Hyatt Regency Baltimore Inner Harbor. Upon arrival, please stop by the Registration Desk to receive your name badge and other conference materials. Registration will be open during the following hours:

Conference Attire

Business casual attire is appropriate for all conference activities. Please keep in mind, the meeting rooms will be air conditioned so you may want to bring a blazer or sweater for the sessions. Comfortable shoes are suggested for this meeting. Blue jeans and casual clothes are also encouraged for the activities on Friday, the final day of the conference.

The average high temperature for Baltimore in late April is approximately 72 degrees with lows around 52 degrees.

Name Badge Policy

Please remember to wear your badge while attending all NASCIO functions. This allows you access to conference sessions, meals and receptions. Your badge is proof of registration. Without it, you will not be allowed to participate in any conference activities.

Special Assistance

Should you need assistance during the conference, please stop by the Registration Desk or look for NASCIO staff. In case of a medical emergency, you may also dial "55" from any house phone.

Responsible Drinking Policy

Recognizing the emphasis on networking through receptions and social events and the potential for alcohol abuse, NASCIO encourages attendees to drink responsibly. Supporting this policy, NASCIO offers nonalcoholic beverages at all functions where alcohol is served. Alcohol will not be served to anyone under age 21.

Cell Phone Courtesy Policy

As a courtesy to speakers and other attendees, please refrain from the use of mobile devices while sessions are underway. We ask that you kindly turn off your phone/PDA or set it to vibrate and leave the room if you receive a call or page.

Photography Disclosure

NASCIO takes photographs during its meetings and events for use in association advertising, newsletters and other promotional materials, whether in print, electronic or other media, including the NASCIO website. By participating in this conference you grant NASCIO the right to use your name and photograph for such purposes.

Internet Access

Wireless internet access in the Hyatt's guest rooms and main lobby area is complimentary for those with reservations in NASCIO's group block. The hotel's wireless network is accessible using your laptop, smart phone or other enabled devices.

The Cyber Café will be located on the Second Floor in the Constellation Ballroom Foyer at the Hyatt Regency Baltimore near the Registration Desk. These computers and print station are provided for the convenience of our attendees and will be available throughout the conference.

Business Center

Taking care of business remotely is easily facilitated with the hotel's full service business center. Located on the third floor of the Hyatt Regency Baltimore, the business center is open 24 hours a day and offers copy and fax services, internet access, office supplies, and packing and shipping. Use your hotel key card to access after normal business hours.

When and where will the conference be held?

NASCIO's 2010 Midyear Conference will take place April 28 - 30, 2010 at the Hyatt Regency Baltimore located at 300 Light St, Baltimore, MD 21202.

What should I wear?

How do I get a hotel room for the conference?

NASCIO has reserved a block of rooms at the Hyatt Regency Baltimore. The room rate is $199 (plus tax) per night for single/double occupancy. Rates are only guaranteed until March 29, 2010 or until the room block is sold out.

Reservations made after March 29, or after the room block has been filled, will be accepted on a space-available basis and may be subject to higher rates, so please make your reservations as early as possible. Make your reservations by calling the toll free number at 1-888-421-1442, and asking for the NASCIO 2010 Midyear Conference rate, or to make reservations online, please click here.

Note: If you are the State CIO, designated proxy, or invited State Policy Official, NASCIO will make hotel reservations on your behalf. Simply indicate your arrival and departure dates on your registration form. If you have questions, or if you need to change your arrival/departure dates, please contact Association Services Coordinator Dash Nagel at dnagel@AMRms.com or (859) 514-9212.

If I cancel my conference registration, is my hotel room automatically canceled and vice versa?

No. These are independent of each other, and you need to cancel each separately. As a reminder, the hotel will charge a penalty for all reservations not canceled at least 24 hours before the scheduled arrival date.

How can I register for the conference?

Conference registrations are handled via NASCIO's secure registration website. Media representatives or conference sponsors inquiring about complimentary registration should contact Membership and Communication Coordinator Shawn Karrick at skarrick@AMRms.com or (859) 514-9156.

Can I register to attend just one day of the conference?

Sorry, NASCIO does not offer single day registration.

How will I know that NASCIO has received my registration form?

You should immediately receive an electronic confirmation once your registration is submitted via the online form. Make sure to click the Submit button once you have reviewed the final summary of your registration information. For registrations submitted by mail as well as any registration changes, confirmations will be emailed to the address provided on your registration form within 2-3 business days after receipt of your registration and payment (or purchase order). If you have questions, please contact Registration Coordinator Kristy Brown at kbrown@AMRms.com.

Can I get a refund if I need to cancel my registration?

Cancellations must be received in writing by March 17 to qualify for a full refund. A $50 administrative fee will be deducted for cancellations received in writing between March 18 and April 21, 2010. Fees cannot be refunded for registrations cancelled after April 21. Substitutions are welcome. You can e-mail your cancellation request or substitution information to Kristy Brown at kbrown@AMRms.com or fax to (859) 514-9166.

If I am unable to attend the conference, can I send someone in my place?

Yes. If you are unable to attend the conference and have already registered, you may designate another person to take your place. Substitutions must be made in writing. Please email Registration Coordinator Kristy Brown at kbrown@AMRms.com or fax to (859) 514-9166. Be sure to include complete contact information for the new attendee as well as the name of the person that is being replaced.

How can I get a receipt for my registration?

A confirmation letter and paid receipt are emailed to all attendees, generally within 2-3 business days after payment is received. If you have questions or need a new copy of your receipt, please contact Registration Coordinator Kristy Brown at kbrown@AMRms.com, or via phone at (859) 514-9175.

How can I see who is registered for the conference?

Access to advance registration lists is a benefit of conference sponsorship. All attendees will receive a copy of the preliminary conference roster upon check-in onsite at the Registration Desk. A final roster will also be emailed to all attendees approximately two weeks after the event. If you did not include your e-mail address on your registration form, please contact Registration Coordinator Kristy Brown at kbrown@AMRms.com, or via phone at (859) 514-9175.

Note: Registration lists are provided as a service for conference attendees, offering a convenient way to network with colleagues. The data provided in these lists may not be harvested, sold to others, incorporated into any type of database, used to generate mailing lists, or employed for any promotional purpose. How can I get a copy of a speaker's PowerPoint presentation?

Any presentations or handouts made available to us will be posted on NASCIO's website after the event. An email will be sent to all attendees once these materials are available for review and download.
